What we collect, why we need it, and how we care for your information.

Information we collect

We collect information you choose to give us through this website, including:

  • Contact enquiries: your name, email address, subject and message.
  • Enrolment applications:a child's names, date of birth, gender, address, ethnicity, iwi, languages and the type of identity document sighted.
  • Whānau and safety details: parent or guardian contact details, authorised and restricted collectors, emergency contacts and doctor details.
  • Health information: special needs, dietary needs, medication and immunisation information, health plans and emergency treatment permissions.
  • Enrolment administration: requested attendance, ECE attestations, other-service hours, consents, billing preferences, WINZ customer number where applicable, and declarations.

Drafts, cookies and technical information

The online enrolment form saves an unfinished draft in your browser's local storage so you can continue it later. The draft remains on that device until you successfully submit the form or clear the site data from your browser. Avoid using a shared device for an enrolment application.

We temporarily use your IP address to limit repeated contact and enrolment submissions and protect the website from misuse. When you download an information booklet, a strictly necessary cookie records recent download times for up to one hour. Secure cookies are also used for authorised staff sign-in. We do not currently use advertising pixels or analytics cookies on the public website.

How we use information

We use personal information only where it is reasonably necessary to:

  • respond to enquiries and arrange centre visits;
  • assess, process and administer enrolment applications;
  • provide safe early childhood education and respond in an emergency;
  • manage attendance, funding, invoicing and regulatory records;
  • record and act on the permissions and consents you select; and
  • secure, maintain and troubleshoot the website.

We do not sell personal information.

Who we may share it with

Access is limited to people who need the information for the purposes above, including:

  • authorised Kiwi Explorers staff;
  • service providers that host the website and database or deliver contact and enrolment notification emails, subject to appropriate confidentiality and security controls;
  • the Ministry of Education, WINZ, another early learning service, health providers or emergency services where you have authorised this, it is needed to protect a child, or the law permits or requires it; and
  • other parties you specifically authorise.

Media, names and learning documentation are used only in line with the permissions you give in the enrolment form.

Storage, security and retention

Submitted enrolment applications are stored in our secured administration system. Contact enquiries are delivered to our centre email through our email provider. We use access controls and reasonable technical and organisational safeguards to protect this information, but no internet service can guarantee absolute security.

Early learning services must retain enrolment and attendance records for at least seven years. We keep other personal information only for as long as it is needed for the purpose collected, to meet legal or regulatory duties, or to resolve a concern, after which it is securely deleted or anonymised where practicable.

Your choices and privacy rights

You can choose whether to provide optional information and can update your media and other permissions by contacting us. Some information is required for us to process an enrolment or meet our legal obligations.

Under the New Zealand Privacy Act 2020, you can ask whether we hold personal information about you, request access to it, and ask us to correct information that is inaccurate, incomplete or misleading. We may need to verify your identity or authority before responding, particularly where a child's or another person's information is involved.
